Finance & Administration Officer

JOB DESCRIPTION

About the Role

The Finance & Administration Officer is responsible for supporting the financial and administrative management of the project by ensuring compliance with BOS Foundation policies, donor requirements, and applicable financial regulations. Reporting to the Finance Coordinator, this position plays a key role in maintaining accurate financial records, supporting project operations, and ensuring timely financial reporting and administrative processes.

This position is based at Samboja Lestari, East Kalimantan, Indonesia.

Key Responsibilities

  • Manage the project's financial administration, including reviewing, recording, filing, and maintaining complete financial documentation in accordance with BOS Foundation policies and donor requirements.
  • Verify supporting documents for financial transactions and ensure all documentation complies with administrative, accounting, and donor requirements before processing.
  • Support the Finance Coordinator in preparing budget utilization reports, periodic financial reports, and donor financial reports in accordance with established formats and reporting schedules.
  • Administer procurement processes, business travel arrangements, contracts, timesheets, and other project administrative documentation in compliance with organizational policies and donor regulations.
  • Maintain both physical and electronic filing systems for all project financial and administrative documents to support monitoring, evaluation, and audit processes.
  • Coordinate with the Finance & Accounting Bureau, Procurement Unit, Human Resources Unit, Tax Officer, and other relevant departments at the Head Office to ensure effective financial and administrative support.
  • Work closely with the Finance Coordinator, Project Coordinator, and project team at Samboja Lestari to ensure that all supporting documents for project expenditures are complete, accurate, and submitted on time.
  • Perform other finance and administrative duties as assigned by the Head of Finance & Accounting, Finance Coordinator, Project Coordinator, or Project Leader.

Qualifications

  • Diploma (D3) or Bachelor's degree in Accounting, Finance, Management, Business Administration, or another relevant discipline.
  • Minimum of 1–2 years of professional experience in finance and administration.
  • Previous experience working with non-governmental organizations (NGOs) and donor-funded projects is highly desirable.
  • Sound understanding of accounting principles, cash management, bank reconciliation, basic taxation, and financial reporting.
  • Proficiency in Microsoft Office applications, particularly Microsoft Excel, and other relevant software.
  • Strong analytical, organizational, and time management skills with excellent attention to detail.
  • Strong communication, coordination, and interpersonal skills, with the ability to work effectively across multiple teams.
  • Ability to communicate in English, particularly for reading documents and handling basic written correspondence.
  • Demonstrates integrity, accountability, and the ability to maintain confidentiality of financial and organizational information.
  • Able to work independently as well as collaboratively within a multidisciplinary team.
  • Willingness to be based at Samboja Lestari, East Kalimantan, Indonesia.
  • Willingness to travel to BOS Foundation project sites, including remote forest, plantation, and mining concession areas, as required.
